Fire Hub (“the App”) is provided by 1313electric (“we,” “us,” or “our”). The App connects authorized users to databases operated by their department or organization (each a “Department”). Departments provision accounts and upload/manage user information (e.g., names, phone numbers, employee numbers). We operate the App as a service provider/processor to Departments. 1) Roles & Responsibilities • Department (Data Controller): Decides what data is stored in the Department database, manages user accounts, and sets retention/deletion rules for Department data (including the user directory). • 1313electric (Service Provider/Processor): Operates the App and supporting infrastructure that processes data on the Department’s behalf and instructions. • Users: Authorized personnel who access the App using Department-managed credentials. Important: Login credentials and access rights are managed by the Department admin(s). To modify or delete your profile/directory data in the Department database, please contact your Department admin. We’ll assist them as needed. 2) Data We Process The App displays and processes data that is loaded and controlled by your Department. Typical categories include: • Profile/Directory Data (Department-provided): Name, phone number, employee number, role/assignment, and other fields configured by the Department. • Access & Activity Logs (collected by the App): Timestamps of logins/logouts; actions such as reads/writes to Department databases; news views/reads; and other events related to access and use of information. • Technical Data: Device/app identifiers, OS version, app version, basic diagnostic information for reliability and security. Unless otherwise noted by your Department, this information is processed to provide secure access, auditing, and operational support for Department activities. 3) How We Use Information • Authenticate users and enforce Department-administered permissions. • Display Department-managed directory and operational data to authorized users. • Record access logs (login times, reads/writes, news reads) for security, audit, and operational analytics requested by the Department. • Maintain reliability, safety, and performance of the App (debugging, abuse prevention, incident response). • Provide support to Departments and users. 4) Legal Bases (where applicable) Processing may rely on: • Contractual necessity (providing the App as requested by the Department). • Legitimate interests (security, auditing, service reliability). • Consent where required by law or Department policy. 5) Data Storage, Location & Retention • Storage: Department data resides in databases configured by the Department (e.g., a cloud provider chosen by the Department). The App may cache limited data on the user’s device for performance or offline access, consistent with Department settings. • Location: Storage regions are determined by the Department or its provider. Data may be processed in regions necessary to deliver the service. • Retention: Profile/directory data is retained according to Department policy. Access/activity logs collected by the App are retained for the period specified by the Department or, if not specified, for a commercially reasonable period needed for security and audit purposes. 6) Sharing & Disclosures • We do not sell personal information. • We may disclose data to service providers (e.g., hosting/monitoring) strictly to operate the App, under confidentiality and data-protection obligations. • We may disclose data where required by law or to protect the rights, safety, and security of users, Departments, or the public. 7) Security We implement administrative, technical, and physical safeguards designed to protect data, including encryption in transit, access controls, and logging. Departments are responsible for the data they upload and for managing user access and permissions. 8) Your Rights & Choices • Access/Correction/Deletion (Directory Data): Contact your Department admin to request changes or deletion of your profile/directory data in the Department database. We will assist the Department when instructed. • Access/Activity Logs: Requests related to App access/activity logs can be directed to your Department admin or to us at info@firehub.ca; we’ll coordinate with your Department. • Local data: You may uninstall the App to remove locally cached data on your device. 9) Children’s Privacy The App is intended for professional/operational use and is not directed to children under 13 (or the minimum age in your region). We do not knowingly solicit or collect personal data from children. 10) International Users Data may be processed in countries where we or our service providers operate. We use appropriate safeguards for cross-border transfers where required by law. 11) Changes to This Policy We may update this Policy to reflect product, legal, or operational changes. Google Play (Data Safety) • Collected data: Personal info (name, phone, employee number — provided by Department), Usage data (access logs), Device/other IDs, Diagnostics (if used). • Sharing: No for marketing; Yes to necessary service providers under processing agreements to run the service. • Purpose: App functionality, authentication, security, audit. • Security: Encryption in transit: Yes. • Deletion: Directory data deletion via Department admins; users can request via Department or firehub support.
